The brief
A four-day festival with parallel tracks, an international delegation and three partner programmes (MIDN, the AfriCAN Fellows and the Inclusivity Pavilion) each carrying its own deliverables inside the wider agenda.
The comms team needed daily material published while the festival was still running, and a permanent record that would survive the week: opening and closing ceremonies, selected speeches, more than fifteen interview edits, and a post-event film. Multi-track events punish thin planning.
Whatever isn't scheduled doesn't get shot, whatever isn't logged can't be found when the report is due and a 7:00 AM deadline leaves no room to work out the workflow on the day.
02
The approach.
We planned against the agenda before we planned the crew. Every plenary and main-stage session was assigned. Community and showcase sessions were triaged with the client into full coverage or highlight. We recced the venue with the agenda in hand, mapping movement, light and hand-off points before day one.
On the ground, the team worked in defined lanes. A lead photographer covered the priority moments, with assistants assigned by track. A dedicated DIT backed up and catalogued the images, and pushed selected photos out during every break.
On video, a lead directed coverage, with assistant videographers on sessions, vox pops and atmosphere. A dedicated interview room was crewed for seated, long-form conversations for the full festival period. An on-site editor cut each day into the next morning's highlight video. The 7:00 AM deadline was met four times, not once.
We locked the vertical format for social on day one and built on it through the week, so the social layer never became an afterthought. Everything landed in a structured client workspace, so the archive arrived organised instead of as a drive full of frames.

03
The outcome.
The festival stayed visible for all four days, published live. The permanent layer landed behind it: opening and closing ceremony films, selected speeches, an interview library, and a post-event film that carries the festival to the audience that wasn't in the room.
Each partner programme left with its own edit (MIDN, the AfriCAN Fellows and the Inclusivity Pavilion), assets those teams could take into their own reporting and channels rather than waiting for a share of the festival's.
