The brief
A four-day global maternal and newborn health conference with a daily email going out to delegates and partners each morning — and a closing plenary that needed a film ready to play in the room, not sent through afterwards.
Underneath both sat a quieter requirement. Sessions ran in parallel across the programme, each with its own chairs, presenters and reporting obligations. Every one of them needed its own images, delivered whole rather than curated down to a handful of favourites.
Three different clocks in one event: a newsletter that sends whether or not the assets exist, a closing session that happens once, and a research community that needs its own material findable months later.
The approach.

We built the shoot around the email. Each day's GIF was cut from that day's footage and delivered in time for the following morning's send — four in total, one per conference day, so the blast carried movement rather than a static frame every time it landed.
Sessions were shot and delivered whole. Every session became its own complete set, logged as it was captured, so a chair could be pointed to their own material without anyone searching a shared drive. Highlight selects went out during the session days themselves, giving the comms team something to publish while the conversation was still live.
The closing film was assembled across all four days rather than after them, which is the only way it screens on time. The aftermovie came later, cut without the deadline pressure for the longer tail — partner channels, reporting, the audience that never made it to the venue.

The outcome.

The daily email went out four mornings running with a moving image at the top of it — the conference visible to people who weren't in the room, on the same day it happened rather than a fortnight later.
The closing film played to a full plenary. The per-session libraries went straight to session leads and into reporting, organised by session rather than by date, which is how anyone actually looks for them afterwards. The aftermovie followed, and continued working long after the venue was packed down.
